1. Introduction

This Privacy Policy explains how Vacanzi, operated by [Legal Entity Name] ("Vacanzi", "we", "us", "our"), collects, uses, shares, and protects your personal data when you use the Vacanzi website, mobile applications, and services (the "Platform").

We act as a "Data Fiduciary" in respect of the personal data we process, in line with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and the rules made thereunder. By using the Platform, you agree to this Policy. It applies to both Job Seekers and Companies.

2. Information We Collect

Account & identity: your mobile number and/or email (used for OTP sign-in), name, username, and, if you set one, a password. If you sign in with Google, we receive basic profile details from Google.

Profile & professional data (Job Seekers): your display name, designation/role, location, bio, gender (optional), skills, experience, education, website and social links, profile and cover photos, interests, and — when you apply to jobs — your resume/CV and cover letter.

Company data (Companies): company name, business contact email and mobile, location, industry, size, website, logo/banner, and other business registration details you provide, plus applicant and hiring activity.

Content & activity: your posts, comments, likes, reposts, Career Statuses, chat messages, voice notes, call activity, job posts, applications, bookmarks, and community memberships.

Usage & device data: IP address, device and browser type, app version, pages/screens viewed, and interactions, collected automatically to operate and improve the Platform.

Payment data: when you buy premium features, payments are processed by our payment partner (Razorpay). We receive transaction confirmations and identifiers but do not collect or store your full card or bank-account details.

3. How We Use Your Information

We use your information to: create and manage your account; operate core features (jobs, Career Status, chats and calls, the feed); connect Job Seekers with relevant opportunities and Companies with relevant candidates; personalise recommendations; process payments; send OTPs, service and transactional messages, and notifications; keep the Platform safe (prevent fraud, spam, and abuse); respond to support and grievances; comply with law; and analyse and improve the Platform.

4. Sharing With Recruiters & Employers ("Looking for a Job")

Vacanzi exists to help you get hired. When you signal that you are open to opportunities — for example, by choosing "I'm looking for a job", posting a "Looking for a Job" (seeking) Career Status, applying to a job, or marking your profile open to work — you consent that we may share your job-seeker information with relevant Companies and recruiters so they can consider you and reach out about jobs.

The job-seeker information that may be shared for this purpose includes your name, designation, location, experience, skills, and profile, and — where you have applied to a Company's job or where needed to facilitate an opportunity — your resume and contact details.

We may also include your profile in our Candidates Database and surface it to relevant recruiters based on job-seeking signals such as an active "looking for a job" status, a job application, or participation in a hiring conversation. This enables recruiters to discover and contact you about roles that may suit you.

Your contact details (email and mobile number) are treated as sensitive and are not shown publicly on your profile. They are made available to a Company only in specific cases — most importantly, when you apply to that Company's job (and, for company-backed/premium jobs, when the Company unlocks applicant contacts), or where you otherwise choose to share them. We do this to support your job search; you can stop it at any time by turning off your open-to-work signal, changing your Career Status privacy, or deleting your account.

5. Other Ways Information Is Shared

Service providers: with trusted vendors who help us run the Platform (cloud hosting and storage, communications/OTP, analytics, and payment processing), under obligations to protect your data and use it only for our purposes.

Public content: posts, comments, and public profile fields you choose to make public may be visible to other users. If you post anonymously, your post is shown under your anonymous handle and is not linked to your real profile.

Legal & safety: where required by law, legal process, or to protect the rights, safety, and security of users, the public, or Vacanzi.

Business transfers: in connection with a merger, acquisition, or reorganisation, subject to this Policy.

6. What We Do Not Do

We do not sell your personal data to third parties for their independent marketing. Sharing of your data with recruiters happens to help you find a job, as described above, and within the controls we give you.

We do not display your contact details publicly, and we do not knowingly collect data from anyone under 18.

7. Cookies & Tracking

We use cookies and similar technologies to keep you signed in, remember preferences, secure the Platform, and understand usage. You can control cookies through your browser or device settings; disabling some may affect functionality.

8. Data Retention

We keep your personal data for as long as your account is active or as needed to provide the Platform, comply with legal obligations, resolve disputes, and enforce our agreements.

Some content is retained for limited periods by design — for example, Career Statuses expire after 24 hours; items in Saved Posts and Reposts are kept for a limited window (around 15–30 days); voice messages and interview recordings are retained only for short retention periods and then deleted. When you delete your account, we delete or de-identify your personal data, except where retention is required by law.

9. Data Security

We use reasonable technical and organisational measures to protect your data, including OTP-based authentication, access controls, encryption in transit, and secure cloud storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please help keep your account safe by protecting access to your registered mobile, email, and password.

10. Your Rights & Choices

Subject to applicable law, you may: access and review your data; correct or update your profile; delete your account and associated personal data from Settings; and withdraw consent for processing that relies on consent.

You control your job-search visibility: change or remove your Career Status, adjust its privacy (limit the audience, exclude people, or hide it from viewers), turn off your open-to-work signal, or withdraw a job application — which stops the related recruiter sharing going forward.

To exercise any right or raise a concern, contact us at privacy@vacanzi.com or our Grievance Officer below. We will respond within the timelines required by applicable law.

11. Children

Vacanzi is not intended for anyone under 18. We do not knowingly collect personal data from children. If you believe a minor has provided us data, contact us and we will delete it.

12. Data Storage & Transfers

Your data is processed and stored using cloud infrastructure that may be located in or outside India. Where data is transferred across borders, we take steps to ensure it is protected consistent with this Policy and applicable law.

13. Grievance Officer

In accordance with the Information Technology Act, 2000 (and rules) and the Digital Personal Data Protection Act, 2023, our Grievance Officer / Data Protection contact is:

• Name: [Name]

• Email: grievance@vacanzi.com

• Address: [Registered Office Address], India

We will acknowledge and address grievances within the timelines prescribed by law.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date and, for material changes, provide additional notice where appropriate. Continued use of the Platform after changes take effect means you accept the updated Policy.
